Background
In this article, it will review the procedure on how to add a new client in GetHelpOC. This process allows for less duplication of efforts. This creates a more streamlined referral process and information sharing.
Adding a New Client
Step 1: Before adding a new client ensure that the client does not have an active profile in the system. To review on how to verify if a client has a client profile refer to the Knowledge Base article on Searching for a Client in GetHelpOC.
When entering a new client, click the New Client tab located on the top ribbon. Proceed to enter the basic information of the client and once filled out click the confirm button. The user will be directed to the main profile page of the client record. In the profile page, the user has the ability to enter in client data by clicking on the crayon to edit the field.
Step 2: Obtain Consent on the client profile page. Underneath Client Page Base Navigation Flow you will find the consent button. By clicking the consent button, the consent page will appear where the client has the option to e-consent or e-refuse to share their information in GetHelpOC.
Step 3: To view the script for the verbal consent, you will toggle the button to the right to Show Telephonic Authorization Script. Once you press the toggle option, you will view the consent script in English or Spanish.
When the telephonic authorization toggle is selected, the consent script will appear. The user is able to read off of the script in either English or Spanish. The consent field must be asked to each new client who is entered in GetHelpOC even if they refused to consent to share their information.
Note: We recommend to always send the consent via SMS, by pressing the green icon that states Send Script as SMS. The consent script will be sent to the person in need in English, Spanish, Vietnamese, Korean, Pashtu and Arabic.
In the section below the telephonic script, you're able to input the client's response, whether they accept or refuse to the consent. If the client accepts, you may get a verbal consent and fill out the following information; first name, last name, date of birth and date of consent. Once you input their response you may click next to proceed to the next tab.
If a client refuses, select the refuse option. Since the client is not option in, the option for a direct referral will not be available and resources must be provided either verbally, through text or emailed.
Note: If a client has previously opted out and would like to change their consent to accept, the user must start at Step 2 of Adding a New Client to update the consent status for the client.
The client has the right to revoke consent at any time, by filling out the client Revocation of Consent form on www.GetHelpOC.org and sending it directly to revoke@UnitedWayOC.org .
Note: Please note, unaccompanied minors (a single client age 17 or under, or a household where all clients are 17 or under) CANNOT consent to share their personal information in GetHelpOC. In this case, consent should be set to Refuse.
